Tone of voice
brand voiceTone of voice is a brand’s consistent, recognisable way of using language: the word choices, rhythm and attitude that identify the sender even without a logo. It is the sound picture of what kind of company you are.
Good to know
Voice is a differentiator in a market where everyone sells with the same words: when competitors are all "trusted partners", a personal voice sticks and feels human. The voice springs from the brand’s personality and must survive channel to channel: the same voice in social, on the site and in customer service.
A definition becomes practice only through examples: "more relaxed than a bank, more businesslike than a meme account" guides more than a list of adjectives. A working voice guide shows the same message written our way and written wrong, so every writer and AI tool can apply it.
IN PRACTICE
Defining the voice in practice
Personality and its limits
Choose 3–4 traits and their boundaries: direct but not rude, relaxed but not a joker. The limits prevent overshoots.
Examples and counter-examples
The same message three ways: our voice, too formal, too light. Examples teach faster than rules.
Voice by situation
A campaign tolerates more personality than a complaint response. The guide shows how the voice flexes with the situation.
PITFALLS
Two tone of voice mistakes
The voice follows the writer
Three writers, three brands. Without a guide and examples the voice fragments across channels and people.
The voice is borrowed from fashion
Light meme language fits few B2B brands. The voice rises from your own personality and audience, not from what works for others right now.
FREQUENTLY ASKED
Frequently asked questions
How is tone of voice defined?+
From the brand’s personality and its customers: how does your best salesperson talk to a client? Record the traits, limits and examples on one page.
May the tone vary by channel?+
The tone flexes, the voice does not: the same personality speaks more freely on TikTok and more tightly in a proposal. Recognisability lives in word choices and attitude.
How do I get AI to write in the right voice?+
Feed the voice guide and sample texts into the instructions and check the output with human eyes. Without examples the machine produces standard prose.
How do I know the voice works?+
Messages are recognised without the logo, replies and engagement improve and the team writes consistently without constant correction.
Who owns the tone of voice?+
Marketing maintains the guide, but the voice belongs to everyone facing customers: sales, service and leadership. Shared training roots it.
